Registration and Participant Services

On-site registration on Thursday 22 October 2026, 08.00–16.00 WITA: documents to bring, the service desks, the participant pack, and LO, secretariat, and meal services.

Registration has two parts: online data collection and on-site verification. The university PIC represents all of the university's teams for administration, collecting packs, and coordination. All times are in WITA (WIB + 1 hour).

When and where

  • Thursday, 22 October 2026, 08.00–16.00 WITA.
  • Umar Bin Khattab Mosque forecourt / Student Affairs and Alumni Bureau, UMI, Campus II, Jalan Urip Sumoharjo, Makassar.
  • The PIC or a university representative registers all of the university's teams; other delegates wait in the area set by the committee.

Registered participants per team

Delegate data is the basis for participant records and meals, at five people per team:

Documents the PIC brings

The PIC brings the documents for every team they represent. If a university has more than one team, data checks and pack collection are recorded per team.

Registration areas and desks

Registration is split into North (U) and South (S), each with three desks doing the same jobs. The PIC goes to the area set by the secretariat and completes every step there. Each team's area is listed in the appendix of the Pocket Guide.

On-site registration steps

  1. Find your area. The PIC goes to the North or South area as directed by the secretariat, starting at Desk A.
  2. Registration and verification at Desk A. The PIC gives the university name, every team represented, the PIC's name, and a contact number. Staff match the data, check the letter of assignment and KTM copies, and record arrival and SPPD status.
  3. Packs at Desk B. The PIC receives ID cards and the participant pack for each registered team, and checks the quantity and condition with staff before leaving Desk B. Anything missing is reported on the spot and recorded on the team's control sheet.
  4. SPPD at Desk C. The PIC hands in the SPPD and receives a receipt; staff explain how it will be endorsed and returned. A PIC without an SPPD goes straight to the next step.
  5. To the Expo area. The PIC hands out ID cards and sends three people from each implementing team to Auditorium Aljibra to report to the Expo committee.

Delegate support

Liaison Officers (LOs) pass on agenda, venue, service, and technical information from the committee to participating universities. The PIC coordinates the needs of all the university's teams, passes information to members, and raises questions or problems with the right staff. Each team's LO is listed in the appendix of the Pocket Guide.

Committee secretariat

Located in the Student Affairs Office, ground floor of Umar Bin Khattab Mosque, the secretariat coordinates delegate services and administrative follow-up, and is the meal collection point for PICs.

Meals

Meals are provided for registered participants (five per team) and collected by the PIC with the LO:

  1. The LO announces the time for each meal and directs the PIC to the secretariat or the on-site registration area.
  2. The PIC gives the university name and number of participants/teams; staff check the list and hand over the allocated meals.
  3. The PIC checks the quantity and confirms receipt before leaving.
  4. The PIC and LO distribute meals to the team. Shortfalls, mismatches, or unregistered participants are reported to the LO and the committee's meals coordinator.
